Requests to Refuse

Once cameras and scores exist, requests arrive for uses they were not justified for.

"Let me watch the cab feed live"

Why to refuse: live viewing converts an event-triggered safety system into continuous supervision, which is a different processing operation with a different justification — and one you almost certainly did not make.

Offer instead: event clips reviewed on a defined process, with the outcome shared with the driver.

"Use the score in the annual appraisal"

Why to refuse: the score is dominated by route and vehicle, and the formula frequently cannot be explained. An appraisal built on it is indefensible at the first challenge.

Offer instead: the coaching record, which is about specific events with context.

"Check whether he took his break"

Why to refuse: the system was justified on safety. Using it for time and attendance is a purpose change, and a discovered one destroys the safety framing permanently.

Offer instead: whatever system records working time, which is the right tool and is a separate subject.

"Rank the depots and publish it"

Why to refuse: it ranks route types. Urban depots will always be at the bottom, and everyone who drives will know why.

Offer instead: each depot against its own trend, with the exposure and route mix stated.

"Pull a year of her footage"

Why to refuse: browsing without a defined incident and scope is disproportionate, and converts a sound concern into something that looks like a search for a reason.

Offer instead: a scoped, authorised, recorded review of a specific incident window.

"Put a bonus on the score"

Why to refuse: it suppresses near-miss reporting and rewards optimisation of the measure, which in this field can mean not braking when you should.

Offer instead: team-level recognition for collision-free periods and for reporting.

"Turn the driver camera on quietly after the upgrade"

Why to refuse: it will be discovered, and the discovery ends the credibility of everything said at the briefing.

Offer instead: a fresh justification, a consultation, and an announcement — or the decision not to.

Recording it

What was asked, by whom, when. What was declined and why. What was offered instead. Who decided.

Findable, so the second identical request is answered by reference.

Decide who decides

Before the first request arrives.

Name the person or forum that rules on exceptions.

Name what evidence an exception requires.

Agree it with whoever owns risk.

Publish it internally, so a requester meets a process rather than one person's judgement — and so the first decision does not silently become the precedent.

Follow the difficult record
